Start with a role and a time

Faculty, vendors, students and event staff need different buildings and hours. Make the access groups reflect those duties, then establish who approves an exception and when it expires.

Review the whole credential path

Check enrollment, lost cards, mobile credential recovery, administrator permissions and deactivation. A correct reader cannot compensate for an access group that grants too much or a former user who remains active.

Test the exceptions

Commission both allowed and denied entry, local controller behavior during a network outage and emergency egress under the approved design. Review the logs with security, IT and facilities together.

Working example: The scenario below is illustrative. It describes a practical design and review method, not a completed customer project or a guaranteed result.

A working scenario

A former contractor's credential still opens a service entrance because HR, the access administrator, and the field panel maintain separate records. Campus trust depends on the whole lifecycle of permission.

The decision to make before buying

Identify authoritative identity data, approval roles, expiration, visitor and vendor exceptions, local cache behavior, and privacy needs. Determine whether each building can maintain access safely during a network outage.

A useful acceptance test

Select example users across buildings and simulate onboarding, a role change, lost credential, immediate revocation, and panel reconnection. Compare event timestamps and permission propagation against the owner's policy.

What the owner should receive

Document door groups, approval authority, revocation evidence, exceptions, synchronization limits, and administrator recovery. Review privileges periodically as staffing and space use change.

Questions owners ask

Why is identity lifecycle more important than a new reader?

A modern reader still honors a credential if the authority system says it should. Role changes, contractors, lost cards and offline controllers can leave rights active longer than intended. Map who approves and removes them across all buildings.

What should the periodic review sample?

Recent exits, department transfers, visitor exceptions and high-privilege groups. Compare approval records with actual access groups and resolve mismatches under the owner's privacy and security policy.

Project conditions and responsibilities vary. Confirm the actual scope and test plan with the owner and project team.
